AgencyMadeEasy Privacy Policy

This Privacy Policy explains how Agency Made Easy, LLC ("AgencyMadeEasy," "AME," "we," "us") collects, uses, shares, and protects information when you use the AgencyMadeEasy platform at app.agencymadeeasy.com and our website at agencymadeeasy.com (together, the "Service").

Who uses the Service

AgencyMadeEasy is software for marketing and advertising agencies. The people who use it are the staff of agencies that subscribe ("Agencies") and those Agencies' own clients, who may use the client portal.

For information an Agency puts into the Service about its business, employees, and clients, the Agency decides what is collected and why. We process that information on the Agency's behalf to provide the Service. Questions about how a specific Agency handles your information should go to that Agency.

Information we collect

  • Account information: your name, email address, job title, role, and sign-in credentials.

  • Agency business information: agency name, address, branding, plans, and contract and billing details between AME and the Agency.

  • Content you add: client records, contracts, prebills, budgets, work orders, messages, notes, and files you upload or create.

  • Usage and device information: sign-in times, pages used, IP address, browser type, and error logs, used to keep the Service secure and working.

  • Cookies: we use only the cookies needed to keep you signed in and the Service secure. We do not use advertising cookies.

Information from services you connect

Agencies and their staff can choose to connect outside services. We only receive data from a service after an authorized person connects it and approves access on that service's own sign-in screen. Except for creating and organizing client folders in Google Drive, all access is read-only.

  • Google Drive: only the folders and files AME creates, plus the folder you choose for AME to use. AME cannot see the rest of your Drive. Used to create and organize client folders and deliverables.

  • Google Analytics: read-only website and conversion reports for the properties you map to a client. Used to build that client's reports.

  • Google Ads: campaign performance (spend, clicks, impressions, conversions) for accounts you map to a client. AME never creates, edits, or pauses campaigns. Used to build that client's reports.

  • Google Calendar: read-only events on your own primary calendar, only if you connect it yourself. Other people in your agency cannot see it through this connection. Used to show your upcoming meetings in your AE Portfolio.

  • Meta (Facebook and Instagram) Ads: read-only ad performance and campaign settings for ad accounts you map to a client. AME never creates or edits ads and never posts content. Used to build that client's reports and show budget pacing.

  • QuickBooks Online: read-only accounting information for your agency's company. AME never changes your books. Used to show your agency's financial information inside the Service.

We also receive the email address of the account you connect, so you can see which account is linked.

How we use information

  • To provide, operate, and support the Service and the features you choose to use.

  • To keep accounts and data secure, detect misuse, and fix problems.

  • To send service messages, such as invitations, notifications, and account notices.

  • To meet legal obligations.

We do not sell personal information. We do not use your information, or data from any connected service, for advertising, and we do not build profiles of you for marketing.

Google user data

AgencyMadeEasy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In particular, data we receive from Google:

  • is used only to provide or improve the user-facing features described above;

  • is not transferred to others except as needed to provide those features, to comply with law, or as part of a merger or acquisition with notice to you;

  • is never used to serve advertisements, and is never sold;

  • is never used to develop, improve, or train generalized artificial intelligence or machine learning models;

  • is not read by people at AgencyMadeEasy unless you give us permission (for example, in a support request), it is necessary for security, or it is required by law.

Meta and QuickBooks data

Data from Meta and QuickBooks is handled the same way: used only to provide the features above, never sold, never used for advertising, and never used to train AI models. Our use of Meta data also follows Meta's Platform Terms, and our use of QuickBooks data follows Intuit's developer terms.

When we share information

  • Within your Agency: with people your Agency authorizes in the Service, according to the roles and permissions your Agency sets.

  • With your Agency's clients: only what your Agency chooses to share through the client portal.

  • With service providers who host the Service, deliver email, and store files for us, under contracts that require them to protect it and use it only for us.

  • For legal reasons: to comply with law, respond to valid legal requests, or protect the rights and safety of users and the public.

  • In a business transfer: if AgencyMadeEasy is merged or acquired, with notice to affected users.

Optional AI features

If we offer AI-assisted features, such as drafting a report summary, they run only when a person chooses to use them. The information needed for that request is sent to our AI service provider solely to produce the result, under terms that prohibit the provider from keeping it or training models on it. Data received from Google APIs is never used to train AI models.

Security

We encrypt data in transit, store sign-in tokens for connected services in encrypted form, limit access to authorized personnel, and keep each Agency's data separate from every other Agency's. No system is perfectly secure, but we work to protect your information and will notify affected users of a breach as required by law.

How long we keep information

We keep information for as long as an Agency's account is active or as needed to provide the Service. When a connected service is disconnected, we stop accessing it and delete its stored sign-in tokens. When an Agency closes its account, or you ask us to delete your information, we delete it within 30 days, except records we must keep for legal, tax, or security reasons.

Your choices and rights

  • Disconnect a service at any time from the service's own security settings (your Google Account, Facebook settings, or QuickBooks), from inside AME where a Disconnect button is offered, or by emailing support@agencymadeeasy.com

  • Access, correct, or delete your information by emailing support@agencymadeeasy.com. See our Data Deletion page.

  • Depending on where you live, you may have additional rights under local law. We will honor them.

Children

The Service is for businesses and is not directed to anyone under 16. We do not knowingly collect information from children.

Changes to this policy

We will post any changes here and update the effective date. If a change is significant, we will notify Agencies before it takes effect.
